Gronac is built and operated by Simple Hire AI, LLC ("Gronac," "we," "us," or "our"). This Privacy Policy explains what information we collect when you use our website and product, how we use it, and the choices you have.

Overview

By using Gronac — our website, our application at app.gronac.com, or any related service — you agree to the collection and use of information as described in this policy. If you don't agree with this policy, please don't use Gronac.

What we collect

We collect information you give us directly, and some information automatically when you use our services.

• Account information — your name, email address, and password (stored securely, never in plain text) when you create a Gronac account.
• Billing information — handled by our payment processor (Stripe). We do not store your full card number on our own servers.
• Usage data — how you interact with Gronac: pages visited, features used, meeting minutes consumed, and similar diagnostic information.
• Device and log data — IP address, browser type, and general technical information collected automatically when you use our website or app.

Meeting & avatar data

Gronac's core function involves an AI avatar joining your meetings. Because of this, we process some additional categories of data specific to that purpose:

• Meeting transcripts — audio from meetings you send Gronac to is transcribed in order to generate debriefs, summaries, and to let Gronac respond in real time.
• Briefing content — anything you provide to brief Gronac (talking points, documents, agendas) is used solely to prepare it for that meeting.
• Avatar customization — if you create a custom avatar look or voice, that data is stored to make it available for your future meetings. You must only create custom avatars from a face, image, or likeness you have the right to use — either your own, or one you have the depicted person's explicit permission to use. We do not permit avatars built from the image or likeness of a real person without their consent, and we may remove avatars and suspend accounts that violate this.

We do not use your meeting content to train third-party AI models beyond what is contractually required to operate the underlying avatar and transcription services (see "Sharing & third parties" below).

How we use it

We use the information we collect to:

• Provide, operate, and maintain Gronac, including joining and running your meetings
• Generate meeting debriefs, summaries, and notifications
• Process billing and manage your subscription
• Communicate with you about your account, including security and service-related notices
• Improve and troubleshoot our product
• Detect, prevent, and address technical issues or misuse

Sharing & third parties

We don't sell your personal data. To operate Gronac, we share limited data with the following categories of service providers, each bound by their own data protection terms:

• Meeting infrastructure — providers that allow our avatar to join and capture meeting audio/video (e.g. Recall.ai)
• Avatar & voice generation — providers that power the AI avatar's appearance, voice, and live conversation (e.g. HeyGen LiveAvatar)
• AI processing — providers that power the underlying language model used to generate responses and summaries (e.g. OpenAI)
• Payments — Stripe, for billing and subscription management
• Email delivery — Postmark, for transactional emails (verification, receipts, notifications)
• Hosting — our infrastructure provider, for running the application and storing data

We may also disclose information if required by law, or to protect the rights, property, or safety of Gronac, our users, or others.

Cookies

Our website uses cookies and similar technologies for essential site functionality (like keeping you signed in) and, where you've consented, for basic analytics to help us understand how the site is used. You can control or disable cookies through your browser settings at any time — note that some parts of the site may not function correctly without essential cookies.

Data retention

We retain account information for as long as your account is active. Meeting transcripts and debriefs are retained to provide your debrief and summary history, and you can request deletion at any time (see "Your rights" below). If you delete your account, we delete or anonymize your personal data within a reasonable period, except where we're required to retain it for legal or legitimate business purposes (such as billing records).

Your rights

Depending on where you live, you may have rights to access, correct, delete, or export your personal data, and to object to or restrict certain processing. To exercise any of these rights, contact us at support@simplehireai.com and we'll respond as required by applicable law.

Security

We use industry-standard measures — including encryption in transit, hashed passwords, and access controls — to protect your information. No method of transmission or storage is 100% secure, so while we work hard to protect your data, we can't guarantee absolute security.

Children's privacy

Gronac is not directed at children under 16, and we don't knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we'll take appropriate steps to remove it.

Changes to this policy

We may update this Privacy Policy from time to time. If we make material changes, we'll update the "Last updated" date above and, where appropriate, notify you directly. Continued use of Gronac after changes take effect means you accept the updated policy.
